Book ETA tracker

Book ETA (Estimated Time of Arrival) gives you a live estimate of how much longer a Book has in verification. The estimate appears directly in the Ocrolus Dashboard, so you can see at a glance which Books are minutes away and which have longer to run. You do not need to refresh a Book to check whether it is done.

The estimate is based on how long comparable documents are taking to process right now. It reflects current conditions, not a fixed published turnaround.

This feature is in beta!

This page discusses functionality that is in beta. You may occasionally experience unannounced changes or bugs. We'd greatly appreciate your feedback on this feature and its accompanying documentation.

Note

The states, wording, and ranges may change as Ocrolus continues to tune the estimate. The estimate is for reference only and may change. It does not modify any turnaround times or service levels in your agreement.

Book ETA appears in the following places:

  • Book list: A Verification ETD (Estimated Time of Delivery) column shows an hourglass icon, the estimate, and an info icon that carries the disclaimer.
  • Book overview page: A Verification block in the page header shows the same estimate for the Book you are viewing.

The estimate refreshes automatically while the page is open, so you do not need to reload. When a Book finishes, the Book overview header shows Complete and the Book list column clears.

Book ETA status

Each Book shows one of the following statuses:

  • Estimating: No estimate yet. The first estimate for a Book becomes available shortly after upload. You also see this status for Books whose remaining documents are all on a fully automated (Instant) path. These Books typically complete quickly, so no countdown is shown.
  • A time range: For example, Under 5 min, 5–10 min, 10–15 min, 45–60 min, or 90–120 min.The estimated time still remaining, shown as a range.
  • A time range with the sub-text Revised: The Book has run past its original estimate, so Ocrolus shows a revised, wider estimate.
  • Still Processing: The Book has run past the revised estimate. Processing continues, but Ocrolus no longer shows a time range for it.
  • Not estimated, with the sub-text 500+ pages: The Book is waiting on a document of 500 pages or more. Ocrolus cannot estimate very large documents reliably, so no time is shown. Ocrolus still processes them normally.
  • A dash (-): Ocrolus offers no estimate for this Book. For example, the Book has finished verifying, or your organization is not covered by the feature.

Estimate ranges

Estimates appear as ranges, not an exact countdown. The longer the remaining time, the wider the range. Ocrolus sizes the ranges as follows:

Time remainingRange sizeExample ranges
Up to 45 minutes5 minutesUnder 5 min, 5–10 min, and so on up to 40–45 min
45 to 90 minutes15 minutes45–60 min, 60–75 min, 75–90 min
Beyond 90 minutes30 minutes90–120 min, 120–150 min, and so on

Ocrolus always rounds ranges up, so the displayed range never shows less time than the underlying estimate.

Estimate calculation

  • Each outstanding document is estimated on its own. For every unfinished document in the Book, Ocrolus checks how long comparable documents recently took to complete. Comparable documents match on processing path, document or form type, page count, and your organization.
  • The last document to finish sets the Book estimate. A Book is complete when its last document is complete. The Book estimate is the latest expected finish across all outstanding documents, less the time that document has already spent.
  • The estimate reflects live conditions, not your contract. In normal operation, Books finish within the turnaround time in your agreement, and the estimate is usually shorter than your contracted turnaround. The estimate adjusts to current processing conditions. If processing slows down, the estimate lengthens.

Estimate updates

Ocrolus recalculates the estimate as the Book progresses: when documents are classified, when work completes, and when documents are added to the Book. Each recalculation looks at the Book as it stands at that moment, not at the previous estimate. If a Book's workflow changes while the Book is in progress, Ocrolus re-estimates it for the new workflow.

EventResult
Ocrolus automatically upgrades a Book from an Instant to a fully verified workflowThe Book stops showing Estimating and starts showing a time range
A document is sent back for another passThe Book returns to processing with a fresh estimate, not its previous one
A Book runs past its estimateThe Book moves to a Revised estimate, instead of showing "any moment now"

Exclusions

The estimate does not include:

  • Time spent waiting on something you control. For example, documents you have not uploaded yet, or a Book you leave open for more uploads. When you add a document to an existing Book, the estimate restarts for that document.
  • Delivery into a downstream system, such as a loan origination system (LOS). The estimate covers processing in Ocrolus only. If results are complete and available in the Ocrolus Dashboard but have not appeared in your LOS, a lock or other condition in the downstream system may prevent the update.

Availability

  • Dashboard only. The Ocrolus API and webhooks do not currently return the estimate. It is a Dashboard display, and it does not appear in any report or export.
  • Enabled per organization. Ocrolus is rolling out Book ETA in waves. If you do not see the column and want it turned on, contact your Ocrolus Account Manager.
  • Contracted turnaround longer than three hours. Organizations with a contracted turnaround longer than three hours do not see estimates. Over that time, an estimate would not be meaningful.
  • LOS integrations. The estimate is not yet available inside LOS integrations, such as Encompass or MeridianLink, where the Book list is not displayed.
  • Book level. The estimate applies to a whole Book (an application or loan), not to an individual document.
❗

Important

Book ETA is an estimate, not a service level. It is informational only and may change. It is not a commitment, and it does not change, amend, or replace any turnaround time or service level agreed in your contract with Ocrolus.

Actual performance against your contractual turnaround remains the only measure of whether a turnaround commitment was met. The estimate does not determine whether a service level was met and does not trigger any remedy or credit.
