Customize revenue formula

With the revenue formula customization option, you can easily visualize both your custom revenue formula and the standard Ocrolus revenue formula side by side on the dashboard.

Access

All users can view the revenue formula, but only Managers can edit it. Managers can use the toggles in the dashboard to change which system and custom tags are deducted from revenue. These adjustments will impact revenue calculations for all of your organization’s Books. We recommend that managers only edit the revenue formula during the initial account setup with Ocrolus.

View your active formula

The page opens on your active formula in a two-column layout, the formula preview on the left and the tag selection on the right. A banner indicates whether the Standard or a Custom formula is active.

The left panel is headed Review your active formula and displays a Standard, Draft, or Custom badge depending on the formula state. It breaks the formula into two components:

Together, these produce = Total revenue.

Customize the formula

The right panel lists deduction tags in a categorized accordion. The available options are Debt, Investing, NSF/Overdraft, Payroll, Tax, Transfer, Other, and Custom tag. Use the search field or category filter pills to narrow the list.

To add a tag, toggle it on the right panel. To remove one, click the × on its pill on the left. Either action moves the formula into Draft state, where:

  • The badge updates to Draft
  • A change counter and Save changes button appear
  • Newly added tags display a NEW badge
  • Removed tags appear as + [tag name] to re-add them

Tips

You can also update revenue tags by customizing tags on the transaction level. To learn more, see the Tag management page.

Save or reset the formula

Save changes appears only in Draft state. Saving moves the formula to Custom, where:

  • The badge updates to Custom
  • Changed tags display a CUSTOM badge
  • The button changes to Reset to standard formula

Reset to standard formula button appears only in the Custom state. Clicking it opens a confirmation modal before reverting all changes and clearing the custom formula.


Compare against the standard formula

When a custom formula is active, the banner includes a View custom formula link. It opens a side-by-side comparison across three columns:
